Administrative Assistant (Contractor Service Representative)

Job Description
Reporting to the Director of Field Services, this role is pivotal in supporting our contract personnel with onboarding, timesheet management, and troubleshooting system-related issues. While this is not an entry-level role, we are open to training the right candidate with a background that complements the responsibilities of this position. Essential Functions and Responsibilities:
- Assist with the onboarding process for contract personnel, including paperwork, scheduling background checks, and guiding contractors through orientation.
- Provide support to field staff, primarily contract workers, in submitting timesheets and managing expense reports, ensuring accuracy and compliance with deadlines.
- Deliver training and ongoing assistance to contractors on company systems and processes, including Fieldglass.
- Maintain accurate records and databases for contract personnel, ensuring compliance with company standards.
- Perform general administrative duties, such as managing contractor inquiries, handling mail, and supporting payroll and time collection processes.
- Identify and resolve operational issues, ensuring efficient workflows for contract personnel and office staff.
Skills/Qualifications:
- Proficiency in Microsoft Word and Excel.
- Excellent verbal and written communication skills, with the ability to explain processes clearly and effectively.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and meet deadlines.
- Ability to work independently, take initiative, and manage time effectively in a fast-paced environment.
- Previous experience in an administrative, customer service, or contractor support role is preferred.
- Willingness to develop within the role; we are open to training candidates with a complementary background.
